1. Introduction
This Privacy Policy explains how DentalEvidence (“we,” “us,” or “our”) collects, uses, discloses, and protects information when you access or use our website, applications, and related services (collectively, the “Service”). By using the Service, you consent to the practices described here.
2. Information We Collect
We collect the following categories of information:
- Account information. If you register, we collect your name, email address, professional credentials (e.g., license type/state), and authentication identifiers.
- Query content. The clinical questions, prompts, and search terms you submit to the Service, together with any metadata about the request (mode, timestamp, IP address).
- Usage and device data. Pages visited, features used, referring URL, browser type, device type, operating system, language, approximate location (derived from IP), and event timestamps, collected via cookies, local storage, and first- and third-party analytics.
- Communications. Messages you send to support, feedback you submit, and survey responses.
Do not submit Protected Health Information (PHI), individually identifiable patient information, or other confidential third-party data into queries. The Service is not a HIPAA business associate and is not designed to receive PHI.
3. How We Use Information
We use the information we collect to:
- operate, maintain, and improve the Service and its accuracy;
- authenticate users, prevent fraud and abuse, and enforce our Terms;
- generate aggregated, de-identified analytics about how the Service is used;
- respond to your inquiries and provide customer support;
- send service announcements, security notices, and (where permitted) marketing communications you can unsubscribe from;
- comply with legal obligations and respond to lawful requests.
4. AI Processing of Queries
Queries you submit are sent to large-language-model providers and search APIs (including, for example, the Lovable AI Gateway and the U.S. National Library of Medicine’s PubMed E-utilities) to generate responses. These providers process your query content on our behalf subject to their own terms. We do not authorize providers to use your query content to train their foundation models where opt-out is available. Do not include PHI or other confidential information in queries.
5. Cookies and Analytics
We use cookies, local storage, and similar technologies to keep you signed in, remember preferences, measure performance, and understand aggregate usage. You can control cookies through your browser settings; disabling them may degrade Service functionality.
6. How We Share Information
We share information only as follows:
- Service providers (hosting, authentication, analytics, AI inference, email delivery) bound by confidentiality and data-protection obligations;
- Legal and safety: to comply with law, respond to lawful requests, enforce our Terms, or protect rights, property, and safety;
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets;
- With your consent or at your direction.
We do not sell your personal information.
7. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account as described below.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information. No system is perfectly secure, however, and we cannot guarantee the security of information transmitted to or stored by the Service.
9. Your Rights
Depending on where you live (e.g., the EEA/UK under GDPR, or California under the CCPA/CPRA), you may have rights to access, correct, delete, port, or restrict processing of your personal information, to object to certain processing, and to lodge a complaint with a supervisory authority. To exercise these rights, email privacy@dentalevidence.com. We will respond within the timeframes required by applicable law.
10. International Transfers
We are based in the United States and process information there and in other jurisdictions where our service providers operate. By using the Service you consent to the transfer of your information to jurisdictions that may have different data protection laws than your country of residence.
11. Children
The Service is intended for licensed professionals and adult researchers, and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will delete it.
12. Changes to This Policy
We may update this Policy from time to time. We will indicate changes by updating the “Last updated” date and, where required by law, provide additional notice.
